Practice Policies

Tmatch is a technology platform operated by Tmind AI. These Practice Policies outline how the Tmatch platform operates and what users can expect when using our services, including interactions with our AI Case Manager, Tracy, and connections with independent therapists.

1. Role of Tmatch & Tracy

Tmatch provides therapist matching and care-navigation services only.

  • Tracy is an AI Case Manager that supports intake, organization of information, and matching.
  • Tracy does not provide therapy, diagnosis, treatment, or crisis intervention.
  • All mental health services are provided solely by independent, licensed therapists.

2. Therapist Independence

Therapists listed on Tmatch:

  • Are independent practitioners
  • Are not employees, agents, or contractors of Tmatch or Tmind AI
  • Are solely responsible for:
    • Clinical decisions
    • Licensing and professional compliance
    • Session structure and treatment plans

Tmatch does not currently supervise or control clinical care.

3. Fees & Payment

Therapy Costs

  • Therapy fees are set by individual therapists.
  • Costs depend on:
    • Therapist rates
    • Insurance coverage
    • Session length and modality
  • Tmatch does not control, negotiate, or guarantee therapy pricing.

Payments for therapy services are processed through the Tmatch platform. Users are required to provide a payment method during onboarding. Tmatch collects fees prior to the session and facilitates the transfer of funds to the therapist following session completion.

4. Scheduling & Cancellation (Matching-Related)

If you schedule an initial consultation or appointment through Tmatch:

  • We ask that you provide at least 24 hours’ notice for cancellations or rescheduling.
  • This policy exists to respect therapists’ time and availability.
  • Repeated no-shows or late cancellations may result in:
    • Temporary suspension
    • Permanent removal from the Tmatch platform

Therapists may also have their own cancellation policies that apply once care begins.

5. Appropriate Use & Code of Conduct

Tmatch is committed to maintaining a respectful, safe environment for all users.

Users are expected to:

  • Communicate respectfully with therapists
  • Use Tracy appropriately and honestly
  • Avoid abusive, harassing, or deceptive behavior

The following may result in immediate suspension or termination of platform access:

  • Harassment or threats toward therapists or staff
  • Inappropriate, abusive, or manipulative use of Tracy
  • Attempts to misuse the platform or falsify information
